Email Verification Before Cold Outreach: What It Catches and What It Misses
Email verification is sold as a yes or no on an address. It is closer to a probability estimate, and the parts it cannot see are usually the parts that decide whether a campaign works. That is not an argument against verifying, because sending to an unchecked list is the fastest way to damage a domain you will need for months. It is an argument for knowing what the green tick means before you build a process on it.
What a verifier is actually doing
Whatever score comes back, most services run the same sequence of checks, in increasing order of cost and decreasing order of certainty.
- Syntax. Is this a legal address at all. Instant, free, catches typos and mangled spreadsheet exports.
- Domain and MX records. Does the domain publish a mail server willing to receive anything. A domain with no MX record cannot accept mail from anyone, so this check is close to certain.
- Known patterns. Role addresses like info@ and sales@, disposable domains and blocklisted domains get flagged from lists rather than tested.
- An SMTP probe. The verifier asks the receiving server whether it would accept mail for that recipient, then hangs up before sending. This is the check people mean by "verified", and it is the least reliable one in the stack.
The probe is unreliable because answering it honestly turns a mail server into a free directory of its own staff. So receiving servers increasingly rate limit these probes, accept at the probe stage and reject later, or answer identically for every address, real or invented.
Four results, not two
Valid
The server indicated it would accept mail for that recipient. True at the instant of the check, for a mailbox that may be shared, auto-forwarded, unread or closing next month.
Invalid
The most useful result you get: typos, guessed patterns that missed, and people who have left. Delete them before they reach a sending queue.
Catch-all, also called accept-all
The domain accepts mail addressed to anything, so the probe cannot distinguish a real colleague from a name you invented. Verification has told you something about the domain and nothing about the person. This is common at smaller companies and on hosted mail platforms, which means it is common in exactly the market most people cold email. A guessed address at a catch-all domain comes back clean, then either bounces later or lands in a tray nobody reads.
Unknown
The probe timed out, was blocked, or returned something ambiguous. Vendors handle this bucket very differently. Some report it honestly, some fold it into valid, which raises the accuracy figure on the marketing page without improving the data. Four things verification cannot tell you
- Whether the person still works there. Mailboxes often stay live after someone leaves, forwarding to a manager or to nobody. The address passes and the email is wasted.
- Whether they are the right person. Verification is blind to seniority, function and authority. A perfectly deliverable address in the wrong department is a bounce with extra steps.
- Whether the domain is the operating business. Plenty of verified domains are parked pages, directory listings or holding companies with a working mail server behind them. The MX record proves a mailbox exists, not that a business is answering it.
- Whether you will reach the inbox. This is the big one. Verification tests whether a letterbox exists, not whether the letter gets read. Placement depends on your sending reputation, your authentication records and the message itself, and no verifier measures any of that.
Why bounces still matter enough to bother
If verification is this limited, why run it at all. Because the one thing it does well happens to be the thing that costs you most. A hard bounce is a permanent rejection: no such mailbox. Providers read a pattern of hard bounces as a sender who does not know who they are writing to, which is exactly what a spammer looks like. The damage attaches to your domain and follows you into the next campaign, so a dirty list does not merely waste one send, it taxes every send after it. Soft bounces, meaning a full mailbox or a temporary failure, are ordinary and usually resolve themselves.
This is also why adding mailboxes or rotating domains does not solve a list problem. Spreading a bad list across more senders spreads the damage rather than reducing it.
A policy that survives contact with a real list
- Verify close to the send, not at list build. Contact data decays as people change jobs, so a list verified when it was assembled is not a list verified when it goes out.
- Give catch-all its own bucket. Do not treat these as valid and do not discard them automatically. Decide what share of a day's sending you will risk on unconfirmed addresses, and hold to it.
- Drop role addresses from cold outreach. They are shared, rarely owned by a decision maker, and a common source of spam complaints, which cost far more than a bounce.
- Cap unknowns. A small fraction is unavoidable. A list that is mostly unknown is not a list, it is a guess wearing a report.
- Watch bounce rate as a leading indicator. A sudden rise usually means a sourcing change upstream rather than anything about your copy, and it shows on day one rather than at the end of a quarter.

Does a verified address guarantee delivery?
No. Verification suggests the mailbox exists and can accept mail. Whether the message lands in the inbox, the promotions tab or the spam folder is decided by reputation, authentication and content, none of which a verifier inspects.
Is it worth emailing a catch-all address?
Sometimes, if the person is a strong enough fit to justify an unconfirmed send. The mistake is not knowing which addresses are catch-all, sending to them at volume, then blaming the copy when nothing comes back.
